Look, we get it - nobody really wants to read through pages of legal stuff. But we actually care about your privacy, so we've tried to keep this straightforward. Bottom line? We only collect what we need to run your training programs and make your experience better. We don't sell your data to anyone, period. If you've got questions after reading this, just shoot us a message.

When you sign up at Thalorien Chronos Fitness, we'll need some basic info to get you started:

  • Personal Details: Your name, email, phone number, and address - basically how we reach you and where to send stuff if needed
  • Health & Fitness Info: Any injuries, health conditions, fitness goals, and current activity levels. This isn't us being nosy - we genuinely need this to keep you safe and design programs that actually work for you
  • Payment Information: Credit card details, billing address - the usual stuff for processing membership fees and program payments
  • Training Data: Your workout attendance, performance metrics, progress photos (if you choose to share 'em), and any notes from your sessions
  • Website Activity: We use cookies and analytics to see how folks use our site - helps us figure out what's working and what's confusing

We're not gonna ask for stuff we don't need. Every piece of info serves a purpose in making your training experience better.

Here's what we actually do with your data:

Program Design & Delivery

Your health info and fitness goals help us create training programs that match where you're at right now. We're not gonna give you box jumps if you've got a knee issue, y'know?

Communication

We'll send you appointment reminders, class schedule updates, and occasionally some training tips or special offers. Don't worry - we're not gonna spam you with daily emails. You can opt out of the marketing stuff anytime.

Progress Tracking

We keep records of your workouts and measurements so you (and your coach) can see how far you've come. There's nothing quite like looking back at where you started.

Payment Processing

Your payment info goes through secure payment processors to handle transactions. We don't store full credit card numbers on our systems.

Facility Management

We use check-in data to manage class sizes and make sure we're not overcrowding sessions. Safety and quality matter more than packing the place.

We're pretty protective of your info, but there are a few situations where we share it:

  • Your Assigned Coaches: Obviously, the trainers working with you need access to your fitness data and goals. That's kinda the whole point
  • Payment Processors: Companies like Stripe or Square handle the actual payment transactions securely
  • Essential Service Providers: Our scheduling software, email platform, and website hosting - basically the tech that keeps everything running
  • Legal Requirements: If we're legally required to share info (court orders, health regulations, etc.), we'll comply - but we'll let you know unless we're legally prevented from doing so

What we DON'T do: We don't sell your info to advertisers, data brokers, or random third parties. Your email won't end up on some spammy mailing list because of us.

We take security seriously around here. Here's what we've got in place:

  • Encryption: Your data is encrypted both when it's moving around and when it's stored on our servers
  • Access Controls: Only staff who actually need your info to do their jobs can access it. The front desk person doesn't see your health conditions, for example
  • Secure Facilities: Physical records are kept in locked areas at our Bay Street location
  • Regular Updates: We keep our systems updated and patch security vulnerabilities as they're discovered
  • Staff Training: Everyone on our team gets trained on privacy practices and data handling

No system is 100% bulletproof, but we're doing everything reasonable to keep your info secure. If there's ever a breach that affects your data, we'll let you know ASAP.

It's your data, and you've got rights. Under Canadian privacy law (PIPEDA), here's what you can do:

Access Your Information

You can request to see what personal info we have on file for you. Just reach out to us at info@thalorienchronos.info and we'll get that to you within 30 days.

Correct Errors

If something in your file is wrong or outdated, let us know and we'll fix it. Better we have accurate info anyway.

Request Deletion

Want us to delete your data? We can do that, though we might need to keep some records for legal or accounting purposes (like payment history for tax stuff).

Opt Out of Marketing

There's an unsubscribe link in every marketing email we send. Click it and you're done - no hard feelings.

Data Portability

You can request a copy of your data in a format you can use elsewhere. Takes us a bit to compile, but we'll get it done.

Our website uses cookies - those little data files that help websites remember stuff about you. Here's the breakdown:

  • Essential Cookies: These keep you logged in and remember your preferences. Can't really turn these off without breaking the site
  • Analytics Cookies: Help us understand how people use the site - like which pages get the most traffic or where folks are getting stuck
  • Marketing Cookies: Track whether our ads are working and help us show relevant content

You can adjust your cookie preferences in your browser settings. Just know that blocking some cookies might make parts of the site not work as smoothly.

We don't keep your info forever - just as long as we need it:

  • Active Members: We keep your data current and accessible for as long as you're training with us
  • Former Members: After you leave, we'll hold onto your data for about 7 years (mostly for legal and accounting reasons), then it gets deleted
  • Marketing Lists: If you've opted into marketing but never became a member, we'll keep your email for up to 2 years, then remove it if there's no activity
  • Financial Records: Payment and invoice records stick around longer due to tax laws - typically 7 years

If you want us to delete your data sooner, just ask. We'll do it as long as we're not legally required to keep it.

Quick heads up about cameras and photos:

  • Security Cameras: We've got security cameras in common areas (entrance, lobby, main training floor) for everyone's safety. Footage is kept for about 30 days then automatically deleted. These cameras don't have audio
  • Training Videos: Sometimes coaches will film your form to help with technique corrections. These are kept in your client file and only shared with you and your assigned trainers unless you give us permission otherwise
  • Marketing Photos: We occasionally take photos or videos for social media and marketing. We'll always ask for your explicit permission before using images that show your face. If you're in the background and unidentifiable, that's generally considered okay, but let us know if you prefer to always opt out

If you ever want a video or photo deleted, just tell us and we'll take care of it.

Our website might link to other sites - supplement companies, equipment vendors, nutrition calculators, whatever. Once you click those links, you're on their turf and subject to their privacy policies, not ours.

We try to only link to reputable sites, but we can't control what they do with your info. If you're concerned, check out their privacy policies before sharing any personal details over there.

We do work with youth athletes (typically 14+), but we need parental consent for anyone under 18. If you're a parent or guardian, you've got the right to:

  • Review your kid's personal information
  • Request we delete it
  • Refuse to allow any further collection or use of their info

For minors' data, we're extra careful and will only communicate with parents/guardians about account matters.

We might update this privacy policy from time to time - new laws come out, we add new services, technology changes, whatever.

When we make significant changes, we'll let you know via email or a notice on our website. The "Last Updated" date at the top of this page will always reflect when we made the most recent changes.

We'd recommend checking back here occasionally, especially if it's been a while since you last looked.
